Camp Policies

Review Our Camp Policies

It is important to review and familiarize yourself with our camp policies below. By completing a camp registration, you are agreeing to these policies.

Camp registrations must be paid in full (or with instalment arrangements to pay in full) to secure your spot at camp.  All camp registrations are subject to a full refund (minus the credit card processing fee) for any reason prior to April 1, 2026, if the request is made to Head Office in writing on or before March 31, 2026.  Requests for changes and/or cancellations will not be accepted by telephone.  All change and/or cancellation requests must be sent by email to info@royalsoccer.com.  Please note, this applies to new registrations made for the 2026 camp season and does not apply for camp sessions, services or camp gear purchased in any previous season where credits were issued.  Cancellation and change requests received on or after April 1, 2026, will be subject to the following:

  • A cancellation request received 21 days or more prior to the start of the registered camp week will be subject to a $100 cancellation fee per camper per week.
  • Requests to change camp week(s) or location(s) are based on availability and will be subject to a $20 administrative fee per camper, per week.
  • Any change in registration or cancellation request received between 7 and 21 days prior to start of the registered camp week will be subject to one of the following ONLY:
  • A camp credit to be used for the 2027 summer camp season
  • Changing to another camp week (depending on availability) and be charged a $20 administrative fee (per camper, per week)
  • Any change in registration or cancellation request received within 7 days of the start of the registered camp week will not be granted for ANY reason.
  • Once the camp week has started, refunds will not be provided for any reason.
  • The 2.4% credit card processing fee is non-refundable.

Royal Soccer Club reserves the right NOT to offer refunds or camp credits once a camp week has started under any circumstances, including, but not limited to:

  • Inclement weather
  • Changes to swimming schedule
  • Changes to the programming due to inclement weather
  • Unforeseen illness or injury
  • A family/camper’s decision not to attend for any reason at any time
  • A camper decides that they’re ‘not enjoying’ camp and do not wish to complete the week.
  • A camper being removed from camp because of inappropriate behaviour OR a result of parent/guardian misconduct

Royal Soccer Club reserves the right to modify or update policies, terms and conditions, and/or programming as required, including in response to recommendations from the Ministry of Health or other health professionals. This may include changes related to public health guidance, infectious disease protocols, vaccination policies, or factors impacting indoor or outdoor venue availability.

Participants will only receive one camp soccer ball and camp medal. If a camper attends 5 or more weeks of camp, they will be given a second ball and medal during their fifth week of camp for no additional cost.

While every effort is made to keep personal belongings together, Royal Soccer Club cannot be held responsible for lost, damaged, or stolen items. Campers are encouraged to leave valuables, including electronics, at home.

While our camp is primarily outdoors, we have plans in place for inclement weather, including rain, extreme heat, or other conditions. Campers may move indoors or take shelter in a designated area until it is safe to resume outdoor activities, depending on facility availability.

Light mist or brief showers usually won’t affect scheduled outdoor activities. On occasion, a school bus (or equivalent) may be needed to transport campers to a nearby indoor facility. Supervisors will make every effort to notify parents if offsite transportation is required.

Indoor programming may be adapted to suit the space. Please note that camp fees are non-refundable due to inclement weather.

Afternoon leisure swims are a regular part of our full-day camp program. Pool and facility availability is subject to local and provincial regulations, so swimming may not be offered every day.

Full-day campers who wish to swim may be required to pass a swim test conducted by pool lifeguards. Campers who do not pass may have limited swim time or participate in supervised activities near the pool.

Campers, volunteers, and staff must follow all facility rules. Some locations may not swim daily. Please note that no refunds are issued for limited or unavailable swimming.

We offer low cost extended care hours for before and after care, outside of our regular camp times. Our before-care option (drop off from 8:00-8:30am) is available for $35 per camper, per week.  Our after-care option (for morning sessions, pick up is from 12:30-1pm or for full day sessions pick up is from 4:30-5pm) is available for $35 per camper per week.  

If you would like both the before and after care option, the cost is $60 per camper per week. The before and after care service is a weekly fee and does not change regardless of how many days that week you wish to use the service.

Pro-rated refunds will not be provided for days where the services were not used.

Our camp days are active for both campers and staff, so we ask that families adhere to their scheduled pick-up times. Late pick-ups beyond the designated times will incur a $20 fee per 15 minutes, payable directly to on-site staff (cash only). Repeated late pick-ups may result in withdrawal from the program.

We appreciate your cooperation in helping our staff wrap up their day on time and ensuring a smooth, positive end to each camp day for everyone!

Daily sign-in and sign-out will take place at the drop off location, unless otherwise directed by the camp staff.  Please be sure to sign-in your camper directly with a camp staff member each morning.  At pick-up, only individuals listed on the “Authorized Pick-Up List” completed at the time of registration, will be allowed to sign a camper out of camp.  Photo identification must be presented at pick up by any individual signing a camper out at the end of the camp day.

Any changes that need to be made to the authorized pick-up list can be made by the parent/guardian of a camper either by contacting the main camp office or by speaking with the onsite camp supervisor.

Creating a fun, respectful, and inclusive environment for everyone is our goal. Campers are expected to always demonstrate courteous and cooperative behavior, treating others with kindness, listening to staff, and working together as a team. Each camper is responsible for their own actions and for helping make camp a positive and enjoyable experience for all.

Appropriate behaviour includes:

  • Respecting fellow campers, staff and camp property.
  • Listening to camp staff and supervisors.
  • Being a good teammate – use kind words when communicating with others.
  • Maintaining a positive attitude.
  • Offering help and support to fellow campers whenever possible.

Inappropriate behaviors include:

  • Disrespecting others through name-calling, teasing, or bullying.
  • Refusing to follow instructions from staff or supervisors.
  • Excluding or isolating others from games or activities.
  • Engaging in rough play, fighting, or unsafe behaviour
  • Damaging or misusing camp property or the belongings of others.
  • Using offensive language or gestures.
  • Ignoring personal boundaries, such as touching others without permission.
  • Disrupting activities in a way that prevents others from learning or having fun.

We take bullying very seriously and are committed to providing a safe, supportive, and inclusive environment for all campers. Bullying in any form, including verbal, physical, or social exclusion—will not be tolerated. Our staff are trained to recognize and address bullying immediately, and any incidents will be handled following our camper behaviour and removal procedures. Campers who engage in bullying may face disciplinary action, including possible removal from camp, to ensure the safety and well-being of all participants.

In addition to the expectations outlined for campers, we ask that all parents and guardians also conduct themselves respectfully while at camp. Royal Soccer Club has a zero-tolerance policy for any physical or verbal abuse directed at staff or camp representatives. We ask that you treat our dedicated staff with respect, as they are committed to providing a safe and positive experience for your children. Any individual who violates this policy may have their child(ren) withdrawn from the program without refund.

We strive to provide a safe and inclusive environment for all campers. To help protect those with allergies, we ask for everyone to assist in keeping our camps nut-free. We ask that all snacks and lunches sent from home do not contain peanuts, tree nuts, or nut-based products. To maintain a safe environment, campers are reminded not to share food, snacks, or drinks with others. Our staff are trained in allergy awareness and emergency procedures, including the use of EpiPens. If your camper has any allergies or medical conditions, please ensure this information is included on their Medical & Additional information form completed during registration so we can provide the proper care and precautions throughout the week.

Kids of all abilities are always welcome to our Royal Soccer Club camps! For campers who will be accompanied by a service/support animal, we ask that you contact our head office via email info@royalsoccer.com before camp starts to be sure that the camp staff, as well as our facility partners for your camp location are made aware.

We try our best to accommodate the special needs of campers where we can. As the facilities/centres that we utilize vary by location, and may not be suitable for all, please get in touch with our head office before camps starts and we can learn more about your child’s needs. Please note that we are not able to offer one-on-one assistance/supervision for campers.

If your camper needs one-on-one assistance/supervision, we are happy to welcome a qualified personal support worker (arranged by the camp family or guardian), to camp.

Royal Soccer Club does not provide pick-up or drop-off services for campers.

In some locations, campers and staff may need to travel offsite to another venue—such as a pool, indoor facility, or alternate location—due to inclement weather or facility availability. By registering for camp, parents/guardians grant permission for RSC, its employees, and volunteers to arrange and facilitate transportation to and from these venues when necessary.

If offsite travel is required, camp staff will arrange transportation and your onsite supervisor will notify you.

For any medical issues, behavioral concerns or life-threatening allergies, please complete the Medical & Additional Information form available during the online registration process.

To help keep all campers and staff healthy, we ask that campers stay home if they are feeling unwell or showing signs of illness. This includes symptoms such as fever, cough, sore throat, runny nose, vomiting, diarrhea, or general fatigue. Campers should also remain at home if they are exhibiting symptoms of, or have been diagnosed with, a communicable disease—an illness that can spread from person to person. Examples include the common cold, influenza (flu), COVID-19, strep throat, conjunctivitis (pink eye), chickenpox, or hand, foot and mouth disease. If a camper begins to feel unwell while at camp, our staff will provide appropriate care and contact parents or guardians to arrange for pick-up. Campers may return once they are symptom-free and feeling well enough to fully participate in camp activities, and a medical professional has been given the all-clear to return to regular camp activity (when dealing with a communicable disease).

Any absences from camp, whether from an illness or personal matter, are non-refundable per the Cancellation & Refund Policy (please see your Participation Agreement for full details on our Cancellation & Refund Policy).

Payments can be made by VISA, MasterCard or VISA Debit during the online registration process. Any payments made with a VISA or MasterCard will be subject to a non-refundable 2.4% credit card processing fee.

Please note, credit card charges may appear on your statement as BAM*Royal Soccer Club.

What is a VISA Debit card?
A VISA Debit is a debit card that displays the VISA logo (on the front or back) and includes a 3-digit CVV/CVC code on the back of the card. Debit cards without both of these features cannot be accepted by our online registration system.

Feedback regarding how RSC provides goods, services, or facilities to people with disabilities can be submitted by email, phone, in person (at our office or camp locations), mail, or other communication methods as needed.

All feedback, including complaints or concerns, is reviewed individually by our Director of Operations. You can expect a response within two business days. We are committed to making our feedback process accessible and will provide accessible formats or communication supports upon request.

When you register for camp, you acknowledge that photos and videos taken during camp remain the property of Royal Soccer Club and may be used for current or future marketing, including on our website and social media.

You also consent to RSC collecting, using, and storing personal information to support camper grouping, process payments, and send updates, promotions, or other communications through email, mail, or digital channels.

RSC is committed to keeping the personal information of our campers, families, and clients accurate, confidential, secure, and private. Our Privacy Policy has been designed to inform families, clients, staff, and third parties of RSC of our commitment and recognition to meet the terms of the Personal Information Protection & Electronic Documents Act (PIPEDA, January 1, 2004).

We may obtain your express consent to use personal information, or we may determine that consent has been implied by the circumstances. Consent could be in writing such as: signed registration form, signed Medical & Additional Information forms, submitted e-forms online, or verbally in person or over the telephone.
